Our Privacy Policy

What kind of information does Avalon collect?
We collect information, such as name, e-mail and postal addresses, phone number(s), birth date or age, gender, occupation, industry and personal interests from you when you visit our website, save your information with us online, or participate in a contest, promotion or survey. We also collect your credit/charge card information when you open an account with us to order services from us. We maintain a record of the transactions you make online or by phone, and may also acquire information about you from unrelated third parties, and from our affiliates.

Do Avalon’s vehicles have onboard recording devices?
For safety and liability purposes, our vehicles do have onboard cameras that will activate and record what is happening in front of the vehicle if the vehicle experiences sudden movements or otherwise appears to be involved in an accident. While the onboard camera is activated, it may record your voice. If you within the camera’s field of vision, the onboard camera will also record your image and movements while the camera is activated.

How does Avalon use my information?
When you apply to open an account with us, we will use your information to run a credit check, to validate your credit/charge card and to establish your account. When you place an order from us, we use your personal information to process your order, charge your credit/charge card for the order, send you e-mails to confirm your order or to contact you via phone, postal mail or e-mail if we have other questions regarding your order. Under our Terms of Use and our Online Credit Card Authorization, you authorize us to charge your credit/charge card for the orders you place with us, whether you place the order on our website or over the telephone and to conduct credit/reference checks as set forth in the Online Credit Card Authorization.
We work to protect the security of your information during transmission by using Secure Sockets Layer (SSL) software, which encrypts information you input.
We reveal only the last five digits of your credit/charge card numbers when confirming an order. Of course, we transmit the entire credit/charge card number to the appropriate credit/charge card company during order processing.
It is important for you to protect against unauthorized access to your password and to your computer. Be sure to sign off when finished using a shared computer.
When you place an order or save your information online, we will use your e-mail and postal address to send you information about our services, contests, and promotions and to help us learn more about your user preferences. If you participate in a contest or promotion (online or over the phone), we may use your personal information to send you e-mails, postal mail, or telephone (including text messages) regarding our services, contests and promotions. From time to time, we may use this information to contact you via e-mail, postal mail, or telephone to learn more about your user preferences. You always have the choice not to receive marketing information or calls.
In addition, we may use information about you and your interests and purchases from us and our affiliates to help us improve our site design and your online experiences. We may contact you, subject to the choices you have made, via e-mail, postal mail, or telephone, to conduct market research and learn more about how we can improve our service offerings.
We may use any recordings made by the onboard cameras in our vehicles as we deem appropriate or necessary in connection with any claims or suits arising from or in connection with any accidents, collisions or other events that caused the onboard cameras to activate and make recordings. Our use of such recordings may include, without limitation, use in re-creating the incident, establishing liability or determining potential damages or losses.

Does Avalon share my information with third parties?
If you order services from one of our affiliates, we share information about you with that affiliate, so that it can communicate with you by e-mail or postal mail about their services, contests and promotions that may be of interest to you. Each of our affiliates has a privacy policy that is consistent with our own.
We also contract with service providers to maintain and manage our customer information, to fulfill promotions and to communicate with our customers. For example, the Saturn reservation system on our website is software that is operated by a third party service provider. Additionally, if you require transportation service in a city in which we or our affiliates do not have operations, we will engage another transportation company in that city to provide the transportation service to you on our behalf and we will share certain of your information with that other transportation company to provide the service to you.

We do not authorize any of these service providers to make any other use of your information.
In the event of a sale of some or all of our business, Avalon will disclose your personal information to a purchaser that agrees to abide by the terms and conditions of our Privacy Policy.

We may disclose to third parties any recordings made by the onboard cameras in our vehicles as we deem appropriate or necessary in connection with any claims or suits arising from or in connection with any accidents, collisions or other events that caused the onboard cameras to activate and make recordings. Third parties to whom we may disclose any recordings made by the onboard cameras in our vehicles may include, without limitation, the other parties involved in the incident and their lawyers, insurance companies, courts, arbitration panels and mediation panels and governmental agencies.
Avalon reserves the right to disclose information about you as required by law, in response to legal process and law enforcement requests, and as necessary to protect the property, interests and rights of Avalon, its affiliates, and others.

How do I exercise my choices about receiving promotional communications?
We want to communicate with you only if you want to hear from us. If you prefer not to receive promotional information from us or our affiliates, or if you do not want us to use your information to enhance your experience, please let us know by contacting us through on the methods described in the beginning of this Privacy Policy above. It may take up to 10 days to process your e-mail request, and 6-8 weeks to process your postal mail request, during which period you may continue to receive communications from Avalon. Please also note that when you order from us, we will continue to confirm your order by e-mail. In addition, we may also need to contact you via phone, e-mail or postal mail with other questions regarding your order.

How does Avalon protect the privacy of children?
Avalon is concerned about the safety of children when they use the Internet and will never knowingly request personally identifiable information from anyone under the age of 13.

What are cookies? How does Avalon use cookies on its site?
A cookie is a small data file that websites often store on your computer’s hard drive when you visit their sites. A cookie may contain information, such as a unique user ID that websites use to track the pages of the sites you’ve visited. We use cookies in order to recognize you as a registered user and to improve your experience.
You can refuse cookies by turning them off in your browser. If you turn off cookies, though, we will not be able to track your order to enable you to order from our site. Nor will we be able to recognize you as a registered user, which allows you to access your account information.

Is my information secure?
Protecting your order information is important to us. We use Secure Sockets Layer (SSL) technology to protect your online order information as it is transmitted over the Internet.
Some versions of browsers and some firewalls do not permit communication through secure servers like the ones we use to process orders at www.avalontrans.com. To check the security of your connection, look at the lower left-hand corner of your browser window after accessing the server. If you see an unbroken key or a closed lock (depending on your browser), then SSL is active. You can also double-check by looking at the URL line of your browser. When accessing a secure server, the first characters of the site address will change from “http” to “https.”
If your browser or firewall doesn’t support SSL, you will not be able to connect to the server, which means you won’t be able to mistakenly place an order through an unsecured connection.

What about links to other websites and services?
The avalontrans.com website may contain links to other sites. Avalon does not control the privacy policies or practices of these websites. You should review those policies before providing any personal information. Avalon is not responsible for the content or practices of any linked websites, and we provide these links solely for the convenience and information of our visitors.
